To Access the TriNet Applicant Tracking (ATS) application, you'll first sign into the main TriNet dashboard. You can login via a single sign-on from both the Employee view and the Admin/Manager view.
- (Employee View) Click on People> Click on Applicant Tracking.
- (Admin/Manager View) Click on Hiring> Click on Applicant Tracking.
To add or a task (automated step) to an ATS Workflow, you'll navigate to the Workflows tab under the Admin menu on the left, after logging into the ATS.
Select Workflows.
Click on the appropriate Workflow Name. For this example, the "Standard workflow" is used.
*Note: The Standard workflow will not allow you to delete or move steps within the workflow.
You can also duplicate/copy the workflow template by selecting the paper icon right of the pencil icon. This will then allow you to edit, delete, and move steps up or down within the workflow.
Find the appropriate workflow status that you wish to add a task for. For this example, the workflow status "New" is used. You can add a description, which is optional.
Click on Add Action.
Click on Select Action and choose Assign a Task from the drop-down window.
Click on Select Task and choose the appropriate task from the drop-down window. Tasks are not customizable. You cannot add or delete tasks.
Click on Select Assignee and choose the appropriate assignee. If you choose Hiring Manager, the task will be assigned to the hiring lead for a specific job.
If you choose Group, you will have the option to choose from any user listed within the Team tab. You can choose multiple users for the same task.
The task will save automatically.
Now, a task will be assigned when the workflow status of New is chosen. For this example, when an applicant applies, a task will be sent out to the hiring manager to schedule a phone interview with the applicant.
You can add multiple actions within one step, if needed.
