This article will walk the admin through the start of building their review template and the steps to launch the review.
NOTE: There is no true test access or sandbox in Perform, so if you wish to send out a "test" review, you will need to launch a live review and then you can Interrupt the review to delete it out, or email cloudproductsupportteam@trinet.com to request to fully delete an ended review.
First, Login to TriNet (www.login.TriNet.com).
Click Performance and Learning then Click Goals and Review.
Once you are in Perform, click on Templates in the admin section.
After clicking on Templates, you can create a net new review template by clicking "create new template."
You can use one of the preloaded templates listed on the far-right side.
Or you can use one of the existing templates you have already created in your list view (this is if you already have saved/created templates).
The template is your lifeline to your review.
When creating a net new review template (list of review questions) you will start off with very few icons in the builder.
First, give your template a title.
Second, click the " +Category" button to add your first Category.
Once you click Add Category, you will then give the category a name, and then click " +Add Question."
Now, you are ready to add your first review question.
First, in the open text field box, add your question/statement/command.
Second, choose how you would like the users to respond to your question in the dropdown on the right side.
Third, add your intended values in the boxes ranging from 1-5. Be sure to put your own values in those boxes or this will result in you not being able to publish the template.
See error below that would display:
Please see explanation for each response type below.
Slider Scale
On a scale of 0 to 5, you can slide the slider left for a lower score or right for a higher score. The values are customizable in each review template.
Multiple choice Buttons
The buttons are customizable and can be as few as 2 and as many as 10. The buttons to the left are always scored lowest and the one farthest right is the highest.
Tags
These tags are not associated with any score and are ideal for 360 reviews where multiple raters are asked the same question about one person. The answers reveal a more 3-dimensional portrait of someone's performance without any score.
Open ended comment
Finally, there's the open-ended question which allows the reviewer to write descriptive text that has no score associated with it.
Additional Comments
Comments are automatically added when the review template is published to every question whatever the question type. Comments bring some context to each score, or value recorded.
Once you have fully built out your list of questions, now you can focus on the Template Options.
The template options will allow you to select how you want to use the template.
First, choose the type of review this will be:
Manager Review= Manager reviews direct report
Manager and Self Review= a combined review: Employee completes self-review first-submits to manager, then Manager completes their portion of the review. Both will answer all same questions in the template.
Self-Review= Employee reviews themselves
360 Review= peer to peer review or anonymous review. Allows the admin to choose a panel of reviewers who do not need to be the direct manager.
Flex Review=Allows the admin to create a list of questions and publish the template for Managers to use at any time. An example of this review type would be a Performance improvement plan or 30,60- or 90-day check-in.
Next, choose your distribution.
Remember, the distribution is always the group/individuals who are being reviewed.
Next, you can choose to exclude new hires from the review who have started with your company within a certain timeframe in the list in the dropdown.
Next, you can choose to allow for a frequency which will copy every part of this template and auto publish it per the frequency selected.
The Start date will be the day the template will be live for all users to access the review.
The End date is an overall end date for the entire review. This is also a place marker so if the review is not ended by this date, the system will not shut down the review.
Instructions allow you to add a key or legend with instructions to call out to the staff when completing the review.
Now, you are ready to publish your review.
Once you click publish, the review will be live based on the start date in the review.
Now, as the admin, you can navigate to the Activity tab to track the live progress on the review.
Click on the title of the review to open the review details.
Click on the dropdown arrow to expand the panel details.
