If you have an internal or external bookkeeper, you can send or forward any expense report. Simply enter in the bookkeepers email address and they will receive the expense reports in it's approved state. There are two ways a bookkeeper can be setup.
1) Set up from Settings
Go to Settings > Personal Settings > Report. Choose the Setup up link underneath Send To My Bookkeeper. Enter the email address of the Bookkeeper and hit Save.
2) Set up from an expense report: If you have not set up your bookkeeper yet, the first time you create an expense report you will be shown a Setup button. Once selected, choose the Setup up link underneath Send To My Bookkeeper. Enter the email address of the bookkeeper and hit Save.
Type in the email address of your bookkeeper or accountant.
Now when you approve an employee expense report, select the Send To My Bookkeeper option in the dropdown to send the report. ExpenseCloud will show you the email address the report will be sent to . Feel free to edit if you are sending to another bookkeeper.
Here is a typical workflow
Mary sends an expense report to Bob her boss, who works at the same company. Bob approved the expense reports and sends it to their external bookkeeper, Linda. When Linda logs into her ExpenseCloud account, the expense report show approved and that the sender was Mary. Linda can then export the report to QuickBooks to register the travel and entertainment expense.
When you send to bookkeeper, the following occur:
1. Bookkeeper receives the expense report in their ExpenseCloud account. It will be published as an approved report
2. Bookkeeper receives email alerting of new report in their ExpenseCloud account + has a link to the PDF attached in the email
Because the approved expense report is in their own account now, they can export it to our integrations (QuickBooks, NetSuite, etc), download the PDF or CSV or leave it as (it will remain for history purposes
